Operator / Legal notice

The operator and rights holder of Extendio OS is Juri Vaal, trading as Extendio. Extendio OS is the platform name, not a separate legal entity. Marina Vaal is a professional and the first customer, not the platform operator. Use the following contacts for platform and data-protection enquiries.

Privacy

Extendio OS processes account sign-in identifiers, names and email addresses, salon records, client messages and contacts, hair photographs, appointment requests and visit history. Each salon must establish a lawful basis and authorize its own staff.

Juri Vaal is responsible for account-data processing and platform administration. Each salon determines the purposes and lawful bases for its client data; Extendio OS processes those data on the salon’s instructions under a data processing agreement to be finalized. Marina Vaal acts as a salon customer. These responsibilities must be agreed before processing real client data.

Purposes include communication, draft replies, consultation, internal scheduling, client history and security. Contract/pre-contractual steps, legitimate security interests and legal obligations need to be specified by purpose. Marketing and public photo use are not automatically authorized.

The pilot uses ChatGPT Sites, Cloudflare Workers, D1 records and R2 file storage. OpenAI supports requested drafts, translations and supported photo analysis. Telegram is used only for connected salons. Google Calendar requires separate authorization; appointment synchronization is not active. Google Drive/Sheets are not this app's operational storage.

Messages are accessible to authorized salon staff. A delegated platform administrator role does not itself provide conversation access; the platform owner can grant himself access to a salon workspace. The server processes message content and sends the necessary context to the model provider when AI is used. End-to-end encryption that conceals content from the server and AI provider is not currently implemented.

Before activating the policy, finalize controller/processor roles, Article 28 agreements, providers, actual regions, international transfer mechanisms and specific retention and deletion periods, including backups.

Applicable rights may include access, rectification, erasure, restriction, portability, objection, withdrawal of consent and a complaint to a supervisory authority. Requester identity should be verified. Automatic complete deletion across all records and backups is not implemented.

Terms of use

Extendio OS is a working pilot for professional salons. Each salon is responsible for its catalog, prices, published professional information and staff permissions.

In draft mode a staff member reviews replies; in a separately enabled automatic mode the system performs verification. The assistant does not confirm payment or decide medical, legal, complaint or refund matters. Appointments are confirmed only after validation and storage. Sending requires a connected channel and an authorized mode.

Unauthorized data access, account sharing and bypassing access controls are not permitted. Platform permissions and salon roles are separate. Security incidents should be reported to the responsible persons.

Subscription, termination, liability and data processing terms require confirmation before commercial launch. This draft does not waive mandatory consumer rights or impose blanket non-refundable deposits. Salon services and Extendio OS subscriptions are separate contracts.

Rights to Extendio OS’s own materials and software developments belong to Juri Vaal. Third-party software, trademarks and salon-uploaded materials retain their respective rights holders. Use of the service does not transfer ownership of the platform.

Extendio OS platform pricing policy

This policy concerns access to Extendio OS and its functions. Each salon separately sets the price of its services; those amounts are not Extendio OS subscription tariffs. Synthetic salon test prices are outside this policy.

Discussion draft only: Beta — €0 during the agreed test period; Starter — illustrative €29/month per salon; Pro — illustrative €59/month per salon. Features, staff numbers, AI limits, additional costs and taxes have not been calculated or approved. These demonstration amounts are not active tariffs or a contractual offer. Plans cannot yet be purchased or paid for.

Proposed subscription structure for discussion: monthly billing; moving from beta to a paid plan only after separately agreeing the price, taxes, limits and start date. Proposed cancellation method: email extendio.es@gmail.com before the next billing period. Paid renewal and charging are not active; this draft creates no payment obligation.

Before a paid contract is concluded, disclose the plan, included functions and limits, price and currency, applicable taxes, billing period, overage charges, payment method and service start date. Paid add-ons require agreed terms.

Renewal, cancellation deadlines and method, access termination, refunds and price changes must be set and disclosed before subscription. Price increases do not apply retroactively to already paid periods. Mandatory legal rights remain unaffected.

Payments for salon treatments follow the salon’s separate terms. Cancelling a Extendio OS subscription does not cancel a client’s appointment or determine a treatment-deposit refund.

Subscription cancellation and cabinet closure are separate. The planned paid service pauses AI after the paid period while preserving data and incoming messages, then resumes after provider-verified payment. Accumulated messages must not automatically receive stale replies. Payment processing, renewal cancellation and these terms are not yet an active paid subscription.

Cookies

The pilot uses ChatGPT sign-in and necessary workspace preferences. Extendio OS application code does not include advertising pixels or Google Analytics. The hosting and sign-in providers may use their own technical mechanisms.

A real-domain cookie inventory, including provider, purpose and duration, must be verified before launch. Future non-essential tracking must use the applicable consent mechanism with rejection and withdrawal.

Data deletion and salon exit

Message trash is reversible hiding within the platform. Permanent conversation erasure requires the client name and removes messages, drafts, translations, associated photos, voice recordings and facts extracted from that conversation. The client card and appointments remain; this is not complete client erasure.

The salon owner requests closure under My salons. It takes effect only after platform-owner approval. The cabinet and channel processing are then suspended, while data are retained for restoration for six calendar months. The exact deadline is displayed. The salon owner can restore before it; the assistant stays paused until separately enabled. After the deadline, a daily check starts permanent erasure from the active database and object storage. Technical failures are retried without falsely reporting completion. Staff retain their personal login accounts. Minimal erasure receipts without conversation text prevent repeated processing.

Processing is fenced when erasure starts. Completion is reported only after active database and object storage cleanup. Failed operations remain resumable. Unfinished sends or uploads may require administrator reconciliation.

Erasure does not remove recipients’ Telegram or Meta history, external calendar events, downloaded copies or records independently retained by providers. An external message already in transit may arrive after erasure starts.

This six-month archive concerns voluntary closure with restoration. It does not restrict valid requests for earlier personal-data erasure. Send those to extendio.es@gmail.com for separate consideration of data-subject rights and mandatory retention. Ordinary category-specific retention and provider backup periods still require approval before real client processing. Active erasure does not mean immediate erasure of every backup.

AI, voice messages and automatic replies

You interact with an AI assistant when that mode is enabled. It may make mistakes. The salon is responsible for its approved service information; unsupported questions are referred to a professional.

In draft mode, a staff member reviews replies. In a separately enabled automatic mode, system-verified replies may be sent without individual human approval. This does not mean that every salon or channel is enabled.

Where voice support is enabled, original audio is stored and sent for speech recognition; transcripts are used for replies and translation. Text, supported photos and audio may be processed by OpenAI. Server processing can access their content; this is not end-to-end encryption against the platform.

Supplier and other business proposals are separated from client consultations and may be referred to the salon owner. Clear spam may pause automatic replies. Staff decide whether to erase an unwanted conversation.
